The Beat

The Beat is an annual dance competition that brings together more than 2,000 amateur dancers and over 6,000 spectators across four days at Centre Pierre-Charbonneau in Montreal. More than a contest, it is a major gathering that celebrates passion, performance, and the next generation by giving dancers a professional on-stage experience they will not forget.

The organization also runs a showcase, a convention, battles, and other events for the dance community. Its mission is to encourage emerging talent, promote movement and sport, and create a space where dancers can express their personality and shine. Each edition draws dance schools from across Quebec and beyond.

From an unsupported platform to a tool built for The Beat

Supporting thousands of registrations, routines, and payments for each edition

The Beat already relied on a registration platform, but it was fragile, lacked critical features, and was no longer supported. The organizing team often had to fall back on manual processes to keep up with school status, routines, and payments. We designed a custom bilingual web application where dance schools create their account, manage dancers and staff, register routines, upload audio files, and track amounts owed. The organizing team has administration tools to approve routines, apply discounts, record payments, and produce operational exports for event preparation.

Dance school workspace

Dancers, staff, registrations, and routines in one secure environment.

Guided registration flow

Routine creation by category, participants, rule validation, and status tracking.

Payments and discounts

Payment summaries, recorded payments, and discounts managed by The Beat team.

Competition administration

Routine approval, list exports, and coordination before event day.

Bilingual and accessible

French and English interface for schools in Quebec and beyond.

Operational exports when the event approaches

The organizing team can generate exports tailored to production needs: dancer lists grouped by school, registration summaries, staff listings, and music files for approved routines. Approved routines only are included, so exports stay aligned with what will actually be presented on stage.

Self-serve registration for dance schools

Schools manage their own registration path: account setup, school profile, dancers, staff, and competition enrollment without depending on back-and-forth with the team. Progress, amounts owed, and routine status stay visible in one place through the edition.

Routine creation built for competition rules

The routine workflow guides schools through categories, participants, and validation rules. Dancers are picked from the school roster, constraints are checked as information is entered, and the MP3 track is uploaded directly for production.

Results that matter

The platform built for The Beat supports the competition's growth and the operational load of each edition. Since launch, the organization has gained:

  • Centralized registrations and routines for thousands of dancers per edition

  • Less manual coordination between schools and the organizing team

  • Reliable data for payments, approvals, and event preparation
